What it feels like to win an Australasian Workforce Management Award

We recently sat down with the 2024 Mobile Workforce Technology Excellence Award Winners at Orica and ‘MyMobility’, Vialto Partners, to find out why they applied and ask what it felt like to win, for anyone considering applying for this year’s awards program.

In conjunction with Orica, Vialto Partners entered the Quest TEMi Australasian Workforce Management Awards to showcase their dedication to innovation and continuous improvement in employee mobility.

Participating in the awards program provided an opportunity to benchmark achievements against industry standards, celebrate the value of Vialto’s partnerships with clients and recognise the dedication and hard work of the teams in delivering a seamless and impactful mobility experience.

Mobility is all about people and so it is important to take a ‘people first’ approach.  But mobility inevitably involves a substantial amount of administration and multiple vendors across the mobility lifecycle, so technology is crucial to managing these elements.

In January 2023 Orica appointed Vialto Partners as their global mobility partner for Assignment Services, Immigration, Tax, Equity and Payroll.   Orica has a mobile population of just over 100 assignees spread across 34 different countries.  Historically the management of their program had been very decentralised and over the course of 2023 they undertook a project to redefine their mobility operating model.   Core to this was the implementation of Vialto’s myMobility platform, to support the administrative elements of their mobility program.  myMobility is now used across Orica’s global business by both the business and mobile employees.

myMobilityHQ is the ‘command centre’ for overseeing Orica’s global mobility program, allowing Orica to have visibility and control of Assignment Management, Immigration, Tax and Payroll services from a single console. Dashboards, visualisations, and drill-down reporting mean that Orica has up to date operational reporting available as needed.   This interface is used by Orica’s people services team, HR Business Partners and Payroll teams to support the day-to-day management of their mobility program.

myMobility is Vialto’s global platform that provides Orica employees a superior user experience. Their account keeps track of Vialto contact points, services, outstanding actions, and provides a secure document repository for two-way file sharing with Vialto and Orica to reduce email traffic and risks associated with sharing personal information via email.

In conjunction with a Global Mobility process review and refresh, myMobility has helped to improve the management of Orica’s mobile population in a number of ways, including:

  • It is intuitive and easy to use by a range of users across Orica’s global business.
  • Information is updated in real time and available to our users across the globe 24/7.
  • The system provides greater security, with employee personal information and documentation being stored within the platform rather than being shared over email.
  • The system includes a workflow functionality which has been tailored to support Orica’s program and allows Orica, in conjunction with Vialto, to track the progress of all assignments via key milestones.
  • Orica’s 3rd party vendors are also able to share information with Vialto to feed into the assignment process.
  • myMobility allows Orica to track and measure exceptions to policy, providing visibility of key exception trends and the associated cost.
  • myMobility also allows Vialto to raise out of scope fee requests with Orica directly via the platform and for these to be approved or declined on the platform. This allows for better tracking and reporting of out of scope fees for billing purposes, including the ability to identify trends in commonly requested services.
  • Orica is able to access reporting within the platform with the click of a few buttons. More tailored reporting is also available via data visualisation and can be tailored to suit Orica’s requirements.
  • The secure File Share tile means that Vialto and Orica are able to share all information securely and ensures that users who require access to information, from Orica, Vialto or a 3rd party, are able to access it.
